The rental equipment and service provider host their data in various sources, out of necessity. Their rental contracts, sales invoices and inventory reside in Dynamics NAV; journal entry and general ledger accounting reside in QuickBooks; employee payroll is processed by ADP; and contractor payroll is processed by an external staffing company. As you can imagine, CFO and his staff would have quite a challenge exporting the data from all the disparate sources, time and time again, and perform side-by-side analyses such as Forecast vs. Actual, Budget vs. Actual, and Labor Cost vs. Revenue, etc. Getting and maintaining income statement and balance sheet in a desired layout was cumbersome and time-consuming, when done in Excel.
IQubz team automated imports from all four data sources using SQL Server Integration Services (SSIS) into a single SQL Server database. They developed Power BI dashboard reports and charts which present revenue and cost insights by the “who-what-when-where” perspectives, such as customer, event, salesperson, employee and period. Based on these insights, managers and decision-makers can dig into the “why” and determine “what next.”
The team configured data models in SQL Server for efficient retrieval of pre-aggregated high-level summaries, quick drill-downs to details, and ad-hoc data visualization capabilities for self-service BI. As a result, salespeople, event managers and accounting staff now get a comprehensive view of their sales, labor costs, accounts receivable, past and upcoming events, equipment availability and usage, all in a single BI portal.
The team also developed financial statements including Profit & Loss, Balance Sheet and Cash Flow statement in SQL Server Reporting Services (SSRS). Users can download reports on-demand, or subscribe to receive them in their mailbox at a designated time.
